GENERAL FAQs - Requesting a Price Quote/Invoice
- What do I do if I am interested in ordering from OrderBay?
The first step is to request a "price quote/invoice" for the service you require by completing and submitting the appropriate order form. For ordering items or products, complete the Sourcing Services order form, for making payments for admission and professional exams, complete the Payment Services-Registration order form and for making other payments complete the Payment Services-Other Payments order form.
To request a quote for a debit card, please complete the Debit Card Services order form.
After receiving your request, we will source for the item(s) you requested and send you details on prices, estimated shipping cost and our service fee.
- How is our service fee determined?
Our service is fee-based, which means that we do not apply a mark-up to the product or service you want to purchase.

- Can I request a Price Quote/Invoice for an item that is not on OrderBay’s service offering list?
Yes you can! Simply complete the appropriate order form, ensuring that you provide a detailed description of the item. We will review your request and confirm our ability to fulfill the order.
- Can I cancel or modify my request after receiving the initial Price Quote/Invoice?
Yes. To modify, simply go to the Contact Us page and send an e-mail with the details of your changes to Price Quote Inquiry. Please include your Order # if available. You can also email us directly at pricequote@orderbay.com.
You are under no obligation to place an order after receiving our Price Quote/Invoice. You are required to accept our quote/invoice before we render the requested service.
- How long does it take to process my request for a Price Quote/Invoice?
On average, we usually take 1 - 2 business days to process your request. However, some orders may take three business days depending on the number of items, complexity of the request and the availability of the merchant/web site specified to research prices and availability.

GENERAL FAQs - Placing Your Order
- How do I place an order with OrderBay?
If you are satisfied with all the elements of your price quote/invoice, you simply pay the deposit or full amount for your order into our GTB or Zenith account and notify us via e-mail. We will update and send you your order status and then proceed to place your order.
- Can I change my mind after paying for my order?
For Sourcing Services, if you cancel your order after we have made any purchase (based on a duly accepted invoice), you would be liable for shipping cost (if any) from the merchant to OrderBay as well as shipping cost (if any) related to returning the item to the merchant for a refund. This would be deducted from your initial deposit and the balance would be returned to you.
However, once your package has been shipped to Nigeria, we cannot refund any payment made. You will be expected to take possession of your package and pay the balance due.
For Payment Services and Debit Card Services, you cannot cancel your order once OrderBay has made payment on your behalf to the specified institution/merchant. OrderBay is willing to contact the merchant/institution that payment was made to and request a refund on your behalf. If the request is granted, OrderBay will notify you of the refund amount and the timing of refund. Refunds may take up to two months or more to process.
- Is there a minimum or maximum ($) order limit that I can place?
There is no minimum or maximum order limit that you can place. However, you may want to consider our Minimum Service Fee as well as Shipping Charges as a guide in determining a cost effective minimum for your order.
In addition, for Sourcing Services, OrderBay retains the right to increase the percentage of deposit payable to as much as 80% for high-value orders.
- How long does it take to process my order and confirm purchase?
On average, we take 1 - 2 business days (after receipt of the deposit or full payment) to process your order and send you your order status via e-mail. However, larger or more complex orders may take up to three business days.
- How do I contact OrderBay if I do not receive any feedback after I have paid for my order?
Go to the Contact Us page, select Price Quote Inquiry and send us an email. We will follow up on your order and respond within one business day. You can also email us directly at pricequote@orderbay.com.

GENERAL FAQs - Making Payment for your Order
- How do I pay the deposit or full payment for my order?
You can make payments at any GTB or Zenith Branch on simply use on-line banking (if you bank with GTB or Zenith) to transfer the funds to our account.
Our Bank Account details will be communicated to you when we send you the invoice/price quote that you requested.
Please note that all purchases or payments will be made on your behalf AFTER we confirm receipt of your funds.
- In what currency(ies) do I pay for my order?
You can pay for your order in Naira or USD. Your invoice will have both the Naira and the USD amount for your order. If your request involves GBP, Euros or CND, your order will be quoted in the USD equivalent.
- What Naira to USD exchange rate do you use?
We are currently applying an exchange rate of N122:$1 to all NEW orders, effective January 1st, 2008. As a rule of thumb, the Naira equivalent of your order is converted at the prevailing parallel market rate. However since the rate fluctuates frequently, we only revise our rates periodically to provide consistency and predictability.

SOURCING SERVICES FAQs
- How much will it cost to mail my package to Nigeria?
Shipping cost to Nigeria is based on a combination of factors including but not limited
to the number of packages consolidated from different merchants, the total weight of
the package to be shipped and the value of the package for insurance purposes. We
can only provide an estimate of this cost. You will be charged the ACTUAL
shipping cost on your final invoice. For more information, please see

- How soon after purchase is my order mailed to Nigeria?
Orders fulfilled fully or partially through web-based merchants will be mailed to
Nigeria on average 7 - 10 business days after purchase. This is because on-line merchants take between 5 to 7 business days on average to ship orders to us.
Order fulfilled fully from brick and mortar stores will be mailed to Nigeria on average, 7 business days after placing your order.
You can however opt to wait and consolidate your order with those of other customers to achieve savings in shipping cost. In such cases, we will work with you to ensure that up-to-date information on the estimated shipping date is provided.
- Once my order is shipped from the US, how long will it take to arrive in Nigeria?
If your order is shipped via DHL either directly to you or to our representative, it will take approximately 4 – 7 business days to arrive. You will be sent details on how to track your package once it is shipped. If shipped to our representative, you will be notified when your package is ready for pick up and provided with details for paying the balance due before/when you take delivery.
If your order is shipped via one of our Alternate Shippers it will take approximately 5 - 9 business days
to arrive. Please note that no tracking is available for the alternate shipper option. You will be notified and
sent the pickup details when your package is ready for pick up or notified of the delivery date where applicable.
Clearance Fees may be payable depending on the Alternate Shipper used.
- How do I check the status of my request or order ?
OrderBay will proactively send you a Prospect/Order Status e-mail as soon as your order status changes.
- What about custom charges?
OrderBay cannot give any estimate for custom charges due on orders shipped via DHL prior to delivery to Nigeria i.e. the estimate will NOT be included in your initial proforma invoice. Where your package is sent to the OrderBay Representative, OrderBay will be responsible for reimbursing DHL for any custom fees required to clear your order. This amount will then be billed on your final invoice, which will be sent to you prior to pickup.
Where your package is to be sent directly to you, you will be responsible for paying DHL any custom fees upon delivery.
Where your order is shipped via the alternate shipper, please view the Clearance Fees payable.
- What happens if my order is delayed or misplaced in the mail?
If you do not receive any e-mail confirming shipment of your order or specifying that your order is ready for pick up within the estimated time, go to the Contact Us page, select Price Quote Inquiry and send us an email. We will follow up and respond within two business day. You can also email us directly at pricequote@orderbay.com.
- Do I get a refund if I am not satisfied with my order or if it is damaged?
Our ordering process is designed to ensure that what you order is what you get. However, OrderBay will consider legitimate concerns in this regard on a case-by-case basis.
- Can I pick up my package and pay the balance due later?
Where your order is to be shipped to Our Representative via DHL, your balance due is payable directly into
our GTB or Zenith account prior to pickup or upon pickup in cash.
Where your order is to be shipped Directly to You via DHL, your balance due is payable into our GTB or Zenith
account prior to shipment to you.
Where your order is to be shipped via Our Alternate Shipper, your balance due is payable into our GTB or Zenith
account prior to shipment to the alternate shipper's office in Nigeria.
- How long can you hold on to my package before I can pick it up?
Where your package is shipped to our representative, you are required to make arrangements to pick up your package within at most two weeks of notification of delivery. If you are unable to do this, you should notify OrderBay to avoid incurring demurrage charges.
Where your package is shipped to our Alternate Shipper, we would advise that you make immediate arrangements to pickup your package. If you are unable to do this, please notify OrderBay immediately.

ALTERNATE SHIPPER VS DHL
- What do I need to know about shipping via DHL vs the Alternate Shipper?
Please note that DHL is OrderBay’s preferred shipper and the shipping charges have been highly discounted. The alternate shipper option is available to customers only in special cases e.g. for heavy items. OrderBay will assess the customer's needs and determine if the alternate shipping option is available for the order placed.
Shipment via the Alternate Shipper:
- Shipment takes approximately 5 - 9 business days
- Shipment is usually done once or twice a week depending on the Alternate Shipper.
- Packages are not insured. No insurance is available
- No repackaging is provided. Items are shrink-wrapped as received
- No tracking # is provided. You will be notified when your package is ready for pickup at the
Alternate Shipper's Office or when it will be delivered to you.
- A deposit of 75% of the order cost per the Proforma Invoice is payable upfront before your order is placed
- The balance due per the Final Invoice will be payable PRIOR to shipping your package to the Alternate Shipper's
office in Nigeria.
- OrderBay’s responsibilities include the following:
- Purchase your order and deliver to the Alternate Shipper
- Notify you when your order is ready for pickup or is to be delivered
- Follow up to ensure delivery to you, where applicable
- The Customer’s responsibilities include the following:
- Contact the Alternate Shipper after receiving the pickup details.
- Liaise with the Alternate Shipper on the package delivery date where applicable
- Pickup the package from the Alternate Shipper and pay the clearance fee where applicable
(this fee is NOT included on OrderBay’s invoice) or take possession of the package when delivered.
- Promptly notify the Alternate Shipper and OrderBay of any damage to the items received.
Shipment via DHL:
- Shipment takes approximately 4 - 7 business days
- Shipment can be requested from Monday – Friday
- Items are repackaged to ensure minimum weight
- A tracking # is provided. You will be notified when the package is ready for pickup from our representative if applicable
- A deposit of 75% of the order cost per the Proforma Invoice is payable upfront before your order is placed
- For Direct Shipment to customers, the balance due per the Final Invoice will be payable PRIOR to shipment. Customers will be responsible for paying any clearance or custom fee charged by DHL upon delivery
- For Shipment to our Representative, the balance due per the Final Invoice will be payable into our GTB or
Zenith account prior to pickup or upon pickup in Cash
- OrderBay’s responsibilities include the following:
- Purchase your order and deliver to you directly or to our representative
- Notify you when your order is ready for pickup, if shipped to our representative
- Follow up to ensure DHL delivers directly to you where applicable
- The Customer’s responsibilities include the following:
- Pickup the package from our representative
- Confirm receipt of package picked up or delivered directly
- Promptly notify OrderBay of any damage to the items received

PAYMENT SERVICES FAQs
- Why do I have to pay 100% upfront for payment services?
We require 100% upfront payment for payment services because once payment is made, you receive confirmation immediately and in most cases directly from the institution or establishment. You also have immediate access to the service/product you paid for. There is no waiting period for the receipt of goods as is the case in Sourcing Services.
- In which countries can OrderBay make payments on behalf of customers?
Below is an alphabetical list of countries (with their corresponding currencies) where we can make payments. If the country of interest to you is not on this list, keep in mind that most countries accept credit cards drawn on US banks, for example South Africa and Australia.

DEBIT CARDS SERVICES FAQs
- What is the minimum or maximum value for the debit/prepaid card that OrderBay offers?
The minimum value is $25 and the maximum $500. The cards are available in whole dollar amounts. Cards of higher value are available upon request.
- Can I reload my visa debit/prepaid card?
No, the card cannot be reused after the original amount at the time of purchase is exhausted. Special arrangements can be investigated to obtain prepaid cards.
- How do I receive my debit/prepaid card?
We will send you all the details you require to use your card via e-mail. These details include the bank name, card number, card value, expiration date, security code (3 digit code on the back of the card) and address to specify for on-line transactions. Please allow 1 - 2 business days for the card to be active.
Please note that anyone with access to this information can use your card. Please keep the information secure. OrderBay will not be laible for unauthorized use of your card.
We do not ship the physical card to customers for security reasons, except you specifically request that we do so. The card will be shipped at the customers risk and shipping charges will apply.
- Do I have to pay any bank charges to obtain a debit card?
The issuing bank charges an activation and load fee of $2.95 or $3.95 per debit card issued, regardless of the value.
- How can I check my debit/prepaid card balance?
Please maintain a record of your purchases using the debit/prepaid card in order to determine your card balance.
- Can I use my debit card for more than one transaction?
You can use your debit card for multiple transactions as long as the balance available is sufficient.
- How long can I use my debit card for?
Your debit card will expire 12 months from the purchase date.
- What happens if I misplace my debit card details or my prepaid card gets lost
If you misplace your card, OrderBay will commmunicate the details to you again or contact the bank and request to cancel the card on your behalf.
OrderBay will however not be responsible for any loss incurred due to unauthorised use of your card.
